Submission Requirements:

Each submission type has a unique set of requirements. Please review the one for your proposal type. There are also general requirements for all types, except poster presenters. If you fail to follow these requirements, we will be unable to accept your submission for review.

General Requirements (Except Posters)

  • Word count: Maximum 400 characters abstract. Maximum four page proposal: three pages for submission content and one page for speaker bios. Only abstract will be published for attendees. We will not edit these, so pay attention to grammar.
  • Font size: Minimum 10-point font. Use a common font such as Arial, Calibri, or Times New Roman.
  • Audience: If this is a career-related submission, tag the submission based on your target audience. Understanding of the audience and tailoring the submission ensures a higher chance of success. If your submission is accepted, the audience label will be at the discretion of the track co-chairs.
  • Expertise Level: If this is a technical submission, tag this to be at the Beginner, Intermediate, or Advanced level at the time of submission. If your submission is accepted, the audience label will be at the discretion of the track co-chairs.
  • Templates: Use the starter template indicated in each section below to help you get started. You may add sections provided the proposal is within the page limits specified. If you choose to use your own template, you must still include all the sections listed in your template to ensure consistency.
  • Submission limit: You may only submit one proposal per submission type.

Specific Requirements

Panel

  • Eligibility criteria: Subject matter expert from industry, academia, or government labs.
  • Number of panelists: One moderator and three to four panelists. No two people from the same organization (company or institution) can be on the same panel. Please indicate in your submission if the moderator has had previous experience moderating a panel.
  • Presentation time: 60 minutes
  • Room type: Theater style seating
  • Template: Use the Panel Starter Template. You can look at two of our highly rated submissions from previous years for inspiration– the Technical Panel Example and Career Panel Example. Our green callouts are tips to guide you through the process.

Presentation

  • Eligibility criteria: Doctoral students and subject matter experts from industry, academia, or government labs.
  • Number of presenters: One presenter per presentation. Tag-Team presentations are not permitted.
  • Presentation Time: Plan on 20 minutes total, including Q&A.
  • Room type: Theater style seating
  • Template: Use the Presentation Starter Template. You can look at two of our highly rated submissions from previous years for inspiration – the Technical Presentation Example and Career Presentation Example. Our green callouts are tips to guide you through the process.

Workshop

  • Eligibility criteria: Subject matter expert from industry, academia or government labs
  • Number of presenters: Two to three facilitators
  • Presentation Time: 60 minutes
  • Room type: Banquet style (round table seating)
  • Room size: Audience size can be up to 400 attendees and cannot be limited by speaker.

Mentoring Circles (formerly Student Opportunity Lab – SOL)

  • Eligibility criteria: Doctoral students and subject matter experts from industry, academia or government labs
  • Number of mentors: One to two mentors per submission
  • Session Time: Each mentoring session will be 20 minutes.
  • Room type: Banquet style (round table seating)
